Step One

1. Discovery Call

You can book a discovery call with us at any point—free of charge and with no obligations. Discovery calls typically occur in three scenarios:

When you’re not yet committed to our services but want to understand how they work so you can consider us (or any other provider) in the future.
When you’re interested in a VA service but are unsure which tasks to outsource or how much it would cost.
When you’re ready to hire a VA and would like to discuss the details with us.

Whatever your motivation, we treat every call with equal importance. During our meeting, we’ll ask you a series of questions to learn more about your business and its needs. We’ll help you identify how much time you can save with a VA or what additional jobs you can finally get done—even those you didn’t know a VA could handle.
Finally, we’ll answer all your questions and provide a ballpark estimate if you’d like.

Our discovery calls are not sales calls. We understand that this is an important decision, and this meeting is purely informational.

Step two

2. Formal Proposal

Once you decide you’d like us to find you a trusted VA—whether for full-time or just a couple of hours a day—we will send you a formal proposal. We keep everything in writing to avoid any ambiguity, with no small print—just clear, plain and simple rules.

3. Recruitment Process

This is our secret sauce, and here’s a taste of the recipe:

  • Crafting the Job Description: We carefully create a job description based on your feedback and insights gathered during our discovery call.
  • Candidate Sourcing: We advertise your position locally and draw a pool of 100 candidates.
  • Screening Process: Our rigorous screening process (which we’re extremely proud of) assesses nearly 20 criteria. We check things you might not even think about, like typing speed, backup power sources for extreme weather, and whether candidates have a dedicated workspace, so you know they don’t work between a sofa and a kitchen table. (We’ll share the full checklist with you when you work with us.) This process narrows the pool to the top 10 candidates.
  • Initial Interviews: We personally interview the top 10 to assess their skills, comprehension, and overall fit. This stage brings us to the final 3 candidates.
  • Client Interviews: You get to meet the top 3 applicants and conduct final interviews so you can confidently choose the VA you feel will be best for you and your business.

Step four

4. Training and Onboarding

Recruitment is only part of the process. We also provide industry-specific training for VAs so they’re ready to hit the ground running from day one.

We also offer training for you as part of the experience. If you’ve never worked with a VA before, we’ll bridge the cultural gap and explain the best ways to work and communicate effectively with your new VA.

Step five

5. Ongoing Support and Management

Onboarding your VA is just the beginning of our relationship.

You’ll be assigned a dedicated Relationship Manager whose sole focus is to ensure you’re not just happy—but delighted—with our service. They will check in with you regularly and will be there every day to support you or answer any questions you may have.

We also handle all HR-related tasks, so you don’t have to:

Our time-tracking software records login times and flags any lateness or irregularities.
We can help cover holidays or unexpected absences for your VA.
If, for any reason, you’d like to replace your VA, we’ll take care of it promptly at no extra cost.
